Donations

Every gift with its method and status: thanked, receipted, restricted, or anonymous.

What the Donations page is for

Donations is where every gift your organization receives is recorded, one row per gift. It lives at /donations, under the Money part of the app, alongside Campaigns and Year-end receipts, three tabs across the top of the same area. Every gift sits beside the person who gave it, so a donation is never a floating number. It is part of someone’s history on their person record as well.

This is the page you open to log a check that arrived in the post, to see who still needs a thank-you, and to keep the running totals honest. Two screens read from it: the Today list raises a gifts still unthanked row while any gift sits unacknowledged, and Raised on the season page counts every kept gift filed under that season.

The donations list

The table shows one row per gift, with these columns:

  • Date: when the gift was received.
  • Donor: the person who gave, linked to their record. A Anonymous badge sits here when the gift is anonymous.
  • Amount: the dollar value of the gift.
  • Method: how it came in (the payment methods are named under the form below).
  • Season: the season the gift is filed under.
  • Status: the badges that tell you what a gift still needs.

The Status column can carry any of four badges at once:

  • Thanked /Unthanked: whether an acknowledgment has gone out for the gift.
  • Receipted: the gift has been rolled into a year-end tax receipt (see Year-end receipts).
  • Restricted: a restricted-purpose gift, given for something particular rather than the general fund.

Filters & row actions

Four filters sit above the table, and they combine. The Season dropdown offers “All seasons” and each season in turn, so you can look at one year at a time. The Campaign dropdown does the same for appeals, and appears once you have a campaign to filter by. The Unthanked only toggle switch hides everything already thanked, leaving just the gifts that still owe a note, the working list for a thank-you session. Arriving from a person’s giving history deep-links straight here, pre-filtered to just that person’s gifts.

Received from … to

The fourth is a date range, and it exists for the monthly close. A season runs to your own calendar; a bank statement runs to the month, so “everything received between the 1st and the 31st” is a question the season filter cannot answer. Fill in either end or both, from alone means everything since, to alone means everything up to, and press Apply. Clear dates puts it back.

Because Export CSV always hands you exactly what is on screen, a date range is also how you get a month-shaped file to read against what your accounting package says landed in the bank.

Each row carries its own actions:

  • Mark thanked: shown on any Unthanked gift; one click flips it to Thanked.
  • Unreceipt: shown on a Receipted gift, to pull it back out of a receipt if something needs correcting.
  • A kebab (⋯) menu holds Edit and Archive, or Restore when you are looking at the archived view.

When any gift on screen is still unthanked, a Thank all n button appears above the table and marks the whole filtered set at once, after asking you to confirm the count. It obeys the filters you have set, so it thanks exactly the rows in front of you and nothing you cannot see, narrow to one season first and only that season’s gifts are touched.

Recording a gift

Record donation opens a form. Its fields are:

  • Donor: a person search; start typing a name to attach the gift to the right record.
  • Season: which season to file it under; it defaults to the current one.
  • Amount ($): the dollar value of the gift.
  • Received on: the date the gift arrived.
  • Payment method: one of Check, Cash, Card, ACH, Stock, In-kind, or Other.
  • Check number: for checks.
  • Campaign: optional, and “Not part of a campaign” for the gifts that simply arrived. Choose one to attach the gift to an appeal; see Campaigns.
  • Description: for in-kind gifts, to note what was actually given.
  • Restricted gift: a checkbox with a restriction note; ticking it adds the Restricted badge.
  • Anonymous: a checkbox to exclude the gift from public recognition; it adds the Anonymous badge.

Export & archiving

Export CSV hands you exactly the filtered list on screen, every filter, including the date range and the campaign, so a season’s giving, or one month's, leaves with you in a spreadsheet whenever you need it. The file carries the date, donor, amount, method, season, campaign, and the thanked and receipted stamps. And like everywhere else in Fay, donations are archived, never deleted: the archived view lists past gifts with a per-row Restore, so a gift removed in error is always recoverable.

Maria’s day

Tuesday’s mail brings a $250 check from a long-time subscriber. Maria clicks Record donation, types the first few letters of the donor’s name until his record comes up, enters the amount and the check number, and saves. Fay files it under the current season without her having to think about it. The gift now sits on his person record and counts toward Raised on the season page.

Before the coffee cools she flips the Unthanked only toggle. Last week’s four gifts are still Unthanked. As the thank-you notes come off the printer she works down the list, clicking Mark thanked on each, four Thanked badges, a navbar count that ticks down to nothing, and every donor still sitting beside the gift they gave.
